Terms and Conditions

Welcome to Holistic Soul Space. These Terms and Conditions set out the agreement between you (the “Client” or “Customer”) and me (the “Practitioner” or “Seller”) when you use this website, book a session, purchase an item, or otherwise interact with my services.

By using my website, services or making a purchase, you agree to these Terms and Conditions.

1. Services Provided

I offer a range of holistic therapies and services, including Usui Reiki, Quantum Healing Hypnosis (QHHT and BQH) and Crystal Energy, and sell handmade Reiki infused crystal jewellery, other esoteric products and original artwork created by myself. All holistic therapies and services are intended as complementary healing to support wellbeing and should not replace medical diagnosis or treatment from a qualified healthcare professional. I am trained and qualified in the therapies and treatments I offer but I do not claim to treat or cure medical conditions.

2. Communication

Communication with clients may take place via email, telephone, or WhatsApp messaging. WhatsApp will only be used for general appointment-related communication and not for sharing private or sensitive information. Any sensitive information should only be discussed face-to-face during your session.​

3. Booking, Cancellation, and Rescheduling

  • Booking: All appointments must be booked in advance through my website or directly via agreed communication. You will receive a message via email or WhatsApp with the details of your appointment when your appointment is confirmed. Quantum Healing Hypnosis (QHHT & BQH) sessions must be booked at least 7 days in advance. If you would like to book Reiki and Crystal Energy appointments with less than 24 hours notice, please WhatsApp message in the first instance for availability. Bookings are only considered confirmed when you have received written confirmation by either email or WhatsApp message.
  • Payment & Legal Agreement: By booking a therapy session online or directly, you agree to these booking, payment, cancellation, and rescheduling terms. For Quantum Healing sessions, a non-refundable deposit of £50 is required before your booking is confirmed. This deposit covers administrative costs, preparation time, and reservation of your appointment space, and will be deducted from the total session fee.
  • The remaining balance must be paid in full at least 14 days before your scheduled session. For online and advance bookings, full payment is required at least 14 days before your appointment to secure your session. Failure to make payment by this deadline may result in cancellation of the booking and loss of your deposit.
  • Cancellation & Refunds: If you need to cancel your appointment, please provide notice as soon as possible.
    • Cancellations made more than 14 days before the session date will receive a full refund, excluding the non-refundable £50 deposit.
    • Cancellations made between 7 and 14 days before the session date will receive a 50% refund of payments made, excluding the non-refundable deposit.
    • Cancellations made within 7 days of the session are non-refundable.
    • Cancellations made within 7 days of the session, failure to attend, or same-day cancellations will be treated as late cancellations and no refund will be provided.
  • Illness & Emergencies: If you are unwell on the day of your appointment or experience an emergency, please contact me as soon as possible. In genuine cases of illness or emergency, I may offer one opportunity to reschedule your session at my discretion, subject to availability. Refunds will not normally be issued for cancellations within 7 days due to illness; however, each situation will be considered reasonably and compassionately on a case-by-case basis.
  • Rescheduling: If you wish to reschedule your appointment, please provide as much notice as possible. Requests made with more than 14 days’ notice will usually be accommodated without charge, subject to availability. Requests made within 7 days of the appointment may incur a fee or loss of deposit.
  • No-Show: If you do not attend your booked session without prior notice, you will be charged the full session fee and may not be permitted to rebook until any outstanding balance has been paid.
  • Late Arrival: If you arrive late, your session may need to be shortened to avoid disruption to other appointments. Full payment will still apply.
  • Appointment Transfer: You may transfer your appointment to a friend or family member provided I receive written consent (via email or WhatsApp) from both parties. The person taking the appointment then becomes responsible for payment and subject to these terms and conditions. Until confirmation of the transfer has been provided, you remain liable under these terms. Quantum Healing session transfers must be completed a minimum of 14 days before the appointment and remain subject to approval following a discovery call with the new client.
  • Consumer Cancellation Rights: Where bookings are made online or at a distance, clients may have certain cancellation rights under UK consumer law. By confirming your booking, you expressly agree for preparation and administrative work relating to your session to begin immediately. The non-refundable £50 deposit covers these costs and reservation of your appointment space. Where a session is scheduled to take place within 14 days of booking, you acknowledge that cancellation rights may be reduced or lost once services have begun or preparation has been carried out.

4. Data Protection and Consent

By making a booking with Holistic Soul Space, you confirm that you understand and agree to the following:

  • We will collect and securely hold your basic personal information and summary session notes in order to provide the Reiki or QHHT/BQH sessions you have requested.
  • Audio recordings of QHHT/BQH sessions will be deleted within 4–6 weeks after the session.
  • Session notes will be retained for up to 7 years for insurance and professional purposes.
  • You consent to us processing your personal and health-related information for the purpose of delivering the agreed sessions.

You may withdraw your consent at any time by contacting us at frances@holisticsoulspace.org. Please note that withdrawal of consent may mean we are unable to continue providing sessions.

5. Client Responsibility

  • You are responsible for your own health and wellbeing before, during, and after your session. If you are under the care of a medical professional or on medication, it is your responsibility to consult them before beginning any complementary therapy. Similarly, you are also responsible for the health and wellbeing of any child or animal in your care that you give consent to having a Reiki session. Please consult your doctor or other healthcare professional, or veterinarian if you have any health concerns about your child or pet.
  • You must provide accurate health information (e.g., relevant conditions) before the start of any treatment to ensure safe service delivery.
  • Respectful behaviour is expected at all times. I reserve the right to refuse or terminate a session without refund if inappropriate behaviour occurs.
  • For therapy sessions, follow pre-session instructions (e.g., arriving on time, bringing exact cash payment). For jewellery and artwork purchases, inspect items at the time of sale to confirm condition.
  • Time Zones & International Clients: All appointment times are scheduled and confirmed in UK time (GMT/BST where applicable). It is the client’s responsibility to check and convert the appointment time correctly for their local time zone before the session.
  • Please be aware that daylight saving and seasonal time changes may differ between countries. I cannot be held responsible for missed appointments, late attendance, or cancellations resulting from incorrect time zone conversions by the client.
  • You must be 18 or older to book a session for yourself, your children or your pets.

6. Access

Please note that if attending an appointment in person, the location is not wheelchair accessible and there are stairs to my treatment room. Remote appointments by Zoom are available. If you live locally, I may also consider coming to you but please WhatsApp message me in the first instance so that we can arrange a call to discuss.

If there are any restrictions, limitations, adaptations or special requirements for your treatment, please let me know at the time of booking. It is important to me as a professional practitioner that I am able to provide the best possible environment for you.

7. Technology Requirements for Remote/Online Sessions

If you attend a therapy session online (e.g., via Zoom), you are responsible for ensuring you have:

  • A stable internet connection
  • Working audio and video equipment, including the relevant software installed (e.g. Zoom) and a headset or earbuds with microphone incorporated for Quantum Healing Hypnosis (BQH) sessions the relevant software installed (e.g. Zoom).
  • A quiet, private environment free from distractions

I am not responsible for interruptions, delays, or missed sessions caused by technical issues on your side. If a session cannot be completed due to your connection or device failure, it will still be considered as delivered and no refund will be provided.

8. Payments

  • Pricing: Therapy session, jewellery, and artwork prices are provided at the time of booking or point of sale. All prices are listed in GBP (£) and include VAT where applicable.
  • Payment Methods:
    • In-Person Reiki and Crystal Energy Sessions: Payment may be made in cash (GBP) at the start of the session or in advance via bank transfer, Wise invoice, or approved electronic payment methods, as agreed at the time of booking. Receipts are available upon request. If paying by cash, exact change is appreciated. Sessions may be refused if payment is not provided as agreed.
    • In-Person Reiki Infused Jewellery and Artwork Sales: Payments for jewellery and artwork may be made in cash (GBP), by bank transfer, Wise invoice, or other approved electronic payment methods at the time of purchase. Receipts are available upon request.
    • Online & Advance Therapy Bookings: Remote sessions and appointments requiring advance payment must be paid in full at least 14 days before the scheduled session unless otherwise agreed in writing. Accepted payment methods include bank transfer, Wise invoice, and other approved electronic payment methods. Failure to make payment by the required deadline may result in cancellation of the appointment and loss of any non-refundable deposit.
  • Invoice & Payment Deadlines: Payment links and invoices must be paid within the timeframe stated at the time of issue. Unless otherwise agreed in writing, deposits are payable within 48 hours of booking confirmation and the remaining balance is due no later than 14 days before the scheduled session date. Appointments are not considered secured until the required payment has been received. Unpaid invoices or payment links may be cancelled or withdrawn without notice.
  • International Payments & Currency: All bookings are confirmed and processed in GBP (£) unless otherwise agreed in writing. International clients may make payment using the payment instructions provided at the time of booking confirmation. Clients are responsible for any exchange rate differences, international transfer fees, or charges applied by their bank or payment provider. Approximate USD ($) or EUR (€) equivalents may occasionally be provided for guidance only and may vary depending on exchange rates and payment methods.
  • Refunds & International Payments: Any refunds issued for international payments will be processed in GBP (£) using the original payment method where possible. I am not responsible for exchange rate fluctuations, currency conversion differences, or fees charged by banks or payment providers at the time of payment or refund. Non-refundable deposits, administrative charges, and payment processing costs already incurred may be deducted from any refund where applicable.

9. In Person Sales of Goods

When purchasing jewellery, artwork or esoteric products in person (for example, at events, markets, or directly from me), all sales are final unless the item is faulty or damaged at the time of purchase.

  • No returns will be accepted for change of mind on in-person purchases.
  • Customers are encouraged to inspect items before completing their purchase.
  • Refunds or exchanges will only be offered if an item is proven faulty.

10. Refunds

  • Faulty Services: If a therapy session is not delivered with reasonable care and skill or as described (e.g., technical issues on my side prevent a remote session), you’re entitled to a full refund or re-performance under the Consumer Rights Act 2015. Contact me within 30 days of the session to claim. Refunds for online payments are processed within 14 days via the same method as payment made. For cash payments, refunds are provided via bank transfer or cash at my discretion.
  • Faulty Jewellery or Artwork: If jewellery or artwork is faulty or not as described (e.g., a broken crystal bracelet, damaged painting), you’re entitled to a full refund or replacement within 30 days of purchase. After 30 days but within 6 months, I’ll offer a repair or replacement; if not possible, a full or partial refund. Contact me with proof of purchase (e.g., receipt). For cash purchases, refunds are provided via bank transfer or cash.
  • Non-Faulty Cancellations: For therapy sessions, refunds follow the cancellation policies above. No refunds are offered for change-of-mind after a session is delivered, as services are bespoke. In-person jewellery and artwork sales are final unless faulty.
  • Process: Email frances@holisticsoulspace.org to request a refund, including booking or purchase details. We aim to respond within 3 business days.

11. Intellectual Property

  • Content Ownership: All website content and session materials is owned by Holistic Soul Space or licensed to me. You may not reproduce, distribute, or modify content without permission.
  • Artwork and Jewellery Designs: All artwork, jewellery designs, and other creative works produced by me, whether sold online, in person, or displayed in any form, are protected by copyright and remain my intellectual property. Purchasing a piece grants you ownership of the physical item only. I reserve all rights to these designs, including copyright and any applicable design rights. Customers may not reproduce, copy, modify, distribute, or use my designs for commercial or personal purposes without our explicit written consent. Purchased jewellery and artwork are for personal use only and do not transfer any intellectual property rights to the buyer. I retain all rights to the original designs and images of my creations, including the right to reproduce them in prints, cards, or other formats, unless otherwise agreed in writing.
  • Client Use: Session materials (e.g., guided meditations) are for personal use only.

12. Disclaimer

  • All material on my website and provided in sessions is for general educational and informational purposes only and does not constitute medical advice. Any claims as to the effectiveness of any service or product on this site are not conclusive and are drawn from professional observation and experience and/or client feedback. Any review, feedback or other matter that could be regarded as a testimonial or endorsement does not constitute a guarantee, warranty or prediction regarding the outcome of any consultation and appointment. The success stories, testimonials and client comments on this website represent the anecdotal experience of individual clients and are not scientific research.
  • Your health care and that of your dependants is your responsibility and the products and services provided  are offered and undertaken with the intention of being a committed service and support in this process.  My services are intended to be complementary to any other healthcare you undertake, including conventional/allopathic and alternative medicine. I will never advise you to discontinue any medical treatment you may be receiving. Any decisions or actions taken by you as a result of my services is your sole responsibility. It is only with the complete understanding and acceptance of this that Holistic Soul Space services and products can be provided.
  • All jewellery and artwork sold is created by me, and variations in colour, size, and appearance are part of the nature of handmade items. Every piece is unique. Where stated, jewellery is Reiki-infused as part of my creative process; however, no guarantees are made regarding the energetic properties, effectiveness, or impact of this infusion. Any energetic descriptions are for personal or spiritual interest only and are not scientifically proven.
  • Psychic, Spiritual, Dowsing, Tarot and Intuitive Services and Products are not offered to be followed as a particular course of action, or an attempt to exert any form of influence over your free will and common sense. It is required that Holistic Soul Space states that they are presented for leisure, amusement or entertainment purposes only. They are not medical advice or life guidance. They are intuitive services and are not medical tests or assessments. Holistic Soul Space services do not claim to diagnose any medical condition and I do not give professional medical advice. Any decisions or actions taken by you as a result of my psychic and intuitive services, including divination and dowsing assessments and all of Holistic Soul Space services, is your sole responsibility. It is only with the complete understanding and acceptance of this that these services can be provided.

13. Liability

  • My Liability: I am liable for losses caused by my failure to deliver services, jewellery, or artwork with reasonable care and skill, subject to UK law. I am not liable for losses arising from inaccurate client information, misuse of services or products, or failure to follow instructions.
  • Non-Medical Scope: As a non-medical professional, we cannot diagnose or treat medical conditions. Any recommendations are for holistic well-being only .
  • Force Majeure: I am not liable for delays or cancellations due to events beyond my control (e.g., power outages, natural disasters). However, where possible I will reschedule a therapy session.

Holistic Soul Space cannot assume any legal liability for any damages, alleged damages, losses or other direct or indirect consequences of any client decisions and/or actions, subsequent to, or based on any of my services. Your participation in this site and any products and services offered and employed by you are subject to these terms and understanding, and is at your own risk.​

14. Breaches of These Terms and Conditions

Without prejudice to other rights under these terms and conditions, if you breach these terms and conditions in any way, Holistic Soul Space may take such action as deemed appropriate to deal with the breach, including suspending your access to the website, prohibiting you from accessing the website, blocking computers using your IP address from accessing the website, contacting your internet service provider to request that they block your access to the website and/or bringing court proceedings against you.

15. Changes to These Terms

These Terms and Conditions may be updated at any time. Changes will be posted on my website with the updated effective date.

16. Governing Law

These terms are governed by Scots law. Disputes will be handled in Scottish courts, subject to your consumer rights under UK law.
